Before making a reservation using this site, please carefully review the terms and conditions outlined below.  Any reservations made using aircanadavacations.com/agents constitutes a binding agreement signifying your acceptance of, and your agreement to follow, these terms and conditions outlined below, and to be bound by them.

NOTE: Air Canada Vacations is a wholesale tour operator and does not own, manage, control or operate any aircraft, ground transportation, hotel, resort, cruise ship, restaurant or other supplier associated with the assembly of your package.

Terms and Conditions of Booking

Reservations for Asia and South America can be made by submitting an on-line request via aircanadavacations.com, or by consulting your local travel agent.

Deposit & Final Payment

Appropriate deposit or full payment including travel insurance premium must be paid by credit card at time of booking as follows:

  • 45 days or MORE prior to departure: CAD$350 per person, followed by full payment 44 days prior to departure
  • 44 days or LESS prior to departure: 100% of the total price

Air Canada Vacations reserves the right to cancel your booking if full payment is not received by the scheduled due date. Unless you are notified in writing that your booking has been automatically cancelled due to insufficient payment, your booking remains confirmed and full payment is due as per Air Canada Vacations’ payment schedule outlined above.

Credit Card Payments

Your use of your credit card number to apply deposit and/or final payment indicates your compliance with these booking Terms & Conditions, whether or not you have actually signed the appropriate draft. Verbal authorization of your credit card confirms your reservation.

Travel Documents

Air Canada Vacations uses electronic ticketing. Upon receipt of full payment and all applicable fees, electronic tickets will be issued between 30 and 14 days prior to departure. For reservations made 7 days or LESS prior departure, e-tickets will be made available within 24 to 48 hours.

Change Fees

If you wish to make any changes to your booking after your reservation has been confirmed, change fees are as specified below apply. Change fees are in addition to any price differential resulting from selection of a higher-priced alternative. Customers are responsible for any such difference in price. Refunds will not be issued for any difference on a lower-priced alternative.

Name changes are not permitted.

7 days or MORE prior to departure Any change to itinerary (including hotel, excursion/tour etc): $50 per amendment plus Gst.
Any change to departure/return date: $50 per person plus Gst.

6 days or LESS prior to departure Any change to itinerary (including hotel, excursion/tour etc): 25% of total price


Note: Any changes other than those specified above that you wish to make to a confirmed booking 21 days or less prior to departure will be treated as a cancellation. Cancellation fees are applicable as outlined below.

Standard Cancellation Policy

Refunds for cancellation of a reservation will only be taken into consideration once notice is received in writing at the office of Air Canada Vacations. Charges for cancellation are as follows:

  • 45 days or MORE prior to departure: CAD$350 per person*
  • 44-21 days prior to departure: 50% of total price*
  • 20 days or LESS prior to departure: 100% non-refundable**

*Cancellation fees are a liquidated damage to compensate Air Canada Vacations for prepayments made on advance booking of travel services, and for administrative costs involved in processing a cancellation.

Insurance

Air Canda Vacations strongly recommends the purchase of our Holiday Insurance at time of booking or other sufficient traveler’s insurance. Government health plans have severely cut back their coverage of out-of-country medical care, and your client’s vacation isn’t the time to worry about how to pay for emergency medical treatment. Co-Operators Travel Insurance offers security and peace of mind 24 hours a day, every day of your client’s vacation. Don’t let them get caught abroad without it. Note: Insurance premiums are non-refundable and must be paid at time of booking.

Refunds

No reimbursements or refunds will be issued for unused travel services or any component of the package. Refunds are not granted for bookings cancelled due to inclement weather or illness; these must be claimed through your travel insurance. No guarantee is provided or warranted that any refund will be available.

Reporting of Incidents

Regardless of Air Canada Vacations liability, any incidents including injuries, service cancellation or problem, or dissatisfaction must be reported to an Air Canada Vacations’ destination representative or Customer Care during the event to allow Air Canada Vacations an opportunity to provide assistance in rectifying the situation.

GENERAL

Validity of Rates

Prices confirmed for your Air Canada Vacations Asia and South America package are the lowest available for the dates and package selected at time of booking. Our intent is to provide you with the vacation you have selected, at the price in effect at time of booking. Should the price of your vacation increase for any reason by more than 7% BEFORE full payment of the initial quoted price is made, cancellation may be made without charge provided you advise us in writing within seven (7) days of your receipt of notice of the increase. A full refund will then be issued within 14 days of our receipt of your written cancellation.
NOTE: This price guarantee does not apply to fuel surcharges, airline-imposed taxes and other fees (service charges included) and/or government/quasi-government agency taxes and other fees (service charges included) increases imposed beyond our control.

Currency

All rates are quoted in Canadian funds, unless otherwise indicated based on exchange rates, fuel cost, taxes and other fees valid at time of booking.

INCLUSIONS AND EXCLUSIONS

Prices DO Include

Selected combination of flights, accommodation, airport-hotel transfers at destination and/or car rental, and any other inclusions as specified for product selected as confirmed at time of booking.

Prices DO NOT Include

Taxes and service charges unless otherwise stated. Applicable government taxes and other fees (service charges included) and any costs incurred en route to and from the destination, meals and/or alcoholic beverages (unless specified), local excursions purchased at destination, telephone calls, tips, laundry, items of a personal nature and personal services not specified as being included at time of booking for product selected.


For Québec residents only, prices do not include the client contribution to the Indemnity Fund amounting to $3.50 per $1,000 of travel services purchased, the amount of which will be added to your invoice.

If we Moidfy Your Booking

Sometimes reserved accommodations become no longer available for reasons such as unexpected maintenance or overbooking. In such cases, substitute accommodation of equal or greater quality will be provided. If for any reason, after confirmation, a hotel change or other changes occur with your travel arrangements such as:
• change of destination;
• change of departure or return by more than 16 hours;
• change of accommodation standards;
• change of the routing requiring additional travel identification or documentation without sufficient time to obtain this documentation before departure.
Air Canada Vacations will contact you at the earliest convenience upon receipt of notification from the concerned supplier prior to departure. In this case, Air Canada Vacations offers the following options:
a. Acceptance of the change as offered;
b. Selection of an alternate package with Air Canada Vacations, based on availability. Any price differential resulting from substitution with a lower-priced alternative will be refunded. You are responsible for payment of any difference in price based on substitution of a higher-priced alternative of their choice;
c. Cancellation of your vacation with a full refund of price paid to Air Canada Vacations.

LIABILITY

Liability of suppliers

Air Canada Vacations makes arrangements with third-party suppliers who provide travel services such as flights, cruises, hotels, airport-hotel transfers, sightseeing, car rental or other activities included in your package tour. Although we attempt our best to deal with the most reputable suppliers, we are not responsible for their acts and omissions. Travel services are subject to conditions imposed by these third-party suppliers, and their liability may, in turn, be limited by their tariffs, conditions of carriage as well as international conventions and arrangements. Conditions of Carriage apply to flights bound to and from your destination, some of which limit or exclude liability. For air carrier liability and options available to you regarding loss, damage or delay of your baggage consult aircanada.com and submit any claims directly to Air Canada. Air Canada Vacations does not assume any responsibility for schedule changes made by the airline, or any additional costs (accommodation, meals, etc) incurred due to any flight delays or misconnections. Additional hotelier terms and conditions may apply.

Liability of Air Canada Vacations

Air Canada Vacations assumes no responsibility for any claim, loss, damage, cost or expense arising out of personal injury, accident or death, loss, damage, delay of baggage or other property, or delay, inconvenience, loss of enjoyment, upset, disappointment, distress or frustration, whether physical or mental, resulting from any of the following:

  • The act of omission of any party including suppliers other than Air Canada Vacations or its employees;
  • Sickness, theft, labour dispute, mechanical breakdown, quarantine, government actions, weather, or any other cause beyond our direct control;
  • Your failure to obtain the documentation required for your trip such as passports, visas, and certificates (in which case you are not entitled to any refund);
  • Your failure to follow instructions including but not limited to airport departure times, baggage handling, and check-in/checkout times;
  • Cancellation or change for any reason in the travel services offered. We reserve the right to cancel or substitute travel services with a comparable alternative at our discretion. If we must cancel your booking entirely, Air Canada Vacations' liability will be limited to a refund of all monies paid.
  • A full refund, however, will not be granted in situations where cancellation of travel must be made by Air Canada Vacations for reasons of which are beyond its control (i.e. force majeure situations such as inclement weather conditions, riots, etc.) and where Air Canada Vacations' contractual obligations with its suppliers does not allow for reimbursement of the sums paid to the supplier on behalf of the customer.

All flights are operated by Air Canada and its Star Alliance partners, unless otherwise specified.

Air Canada Vacations reserves the right to decline any passenger at any time.

Hotel ratings are based on Air Canada Vacations interpretation within a same destination and may differ from ratings reported elsewhere. Living conditions at destination may differ from those in Canada.

Prices confirmed at time of booking supercede any pricing indicated in any previous Asia and South America brochure.

All information provided to Air Canada Vacations remains confidential.

These conditions apply to reservations made between January 1, 2008 and December 31, 2008, for travel completed between January 1, 2008 and December 31, 2008.

Written notice or any claim against Air Canada Vacations must be addressed to and received by our offices no later than fourteen (14) days upon return from your trip. Send notice or claim to Air Canada Vacations Customer Relations.

TERMS & CONDITIONS OF BOOKING

Booking: To book a cruise, complete online request at aircanadavacations.com. From the «Destinations» tab select desired cruise destination, then ship, and click «Request a quote».

Deposit & Final Payment: Appropriate deposit or full payment (as specified below for each individual cruise line) must be paid by credit card at time of booking according to the payment schedule below. The travel insurance premium must be paid at time of booking. Failure to remit payment within timeframe specified will result in automatic cancellation of your booking.

All deposits indicated below are per person in Canadian funds and must be paid per stateroom for each passenger under the same reservation, including children and any additional guests. Note: Additional amounts may be required for hotel, tour or airfare arrangements booked in conjunction with your cruise. Payment schedule and deposit amounts are provided by each individual cruise line, and are subject to change without prior notice.

Holidays: For sailings including December 25 and/or January 1 aboard AZA, HAL, NCL, RCI, CEL and PCL, final payment is due 90 days BEFORE departure.

Credit Card Payments: Your verbal authorization for the use of your credit card to apply payment indicates your compliance with these booking Terms & Conditions and confirms your reservation whether or not you have actually signed the appropriate draft.

Travel Documents:  Cruise tickets are issued between 21 and 14 days prior to departure.  It is the full responsibility of all nationalities to obtain at their own expense, well in advance of the departure date, all necessary travel documents required by the relevant government authorities, including all the different ports of call, and to comply with the laws, thereof.  Passports are required by Canadians traveling by air or by sea and the passport MUST be valid for six (6) months beyond the end date of your travel abroad.  Failure to have the proper travel documents will result in denied boarding and automatic cancellation of your cruise package without refund.   Some cruise itineraries require a travel visa in addition to a passport if you intend to disembark the ship on your own, without participating in an organized shore excursion purchased from the cruise lines.  Note: Single parents traveling with children under eighteen (18) to Mexico require special documentation without which the airline and/or cruise line reserves the right to deny boarding.  In addition single parents must travel with a notarized letter of consent signed by the parent not traveling for presentation to the airline/cruise line.

Change Fees:  If you wish to make any changes to your confirmed booking oustide the cancellation period, Air Canada Vacations will endeavor to make every reasonable effort to accommodate your request. All changes are subject to availability. ChangeAmendment fees may apply depending on the nature of the change and date of your request. Details vary by cruise line, and are available at time of request.

Note: Any changes that you wish to make to a confirmed booking within the cancellation period set by the relevant cruise line will be treated as a cancellation. Cancellation fees are applicable as outlined below. If a cancellation is made by one or more passengers impacting stateroom occupancy, remaining passengers are liable for full payment of applicable revised rate for accommodation.

 

Cancellation Charges: If you must cancel your cruise holiday, cancellation fees will apply depending on cruise booked and when you advise us of the cancellation. These charges are per person and apply to each guest in the stateroom. In the event that charges are based on a percentage, please note it is a percentage of the total price including all taxes and other fees (service charges included). In addition to these charges, cancellation fees apply to any flight, transfer, hotel or tour booked in conjunction with your cruise. Details are available at time of booking. No-show at time of sailing regardless of reason is 100% non-refundable. The cancellation policy detailed below is based on information provided by each individual cruise line, and is subject to change without prior notice.

Dining

Requests for specific dining times and table size will be accepted at the time of booking but cannot be guaranteed or confirmed prior to departure and Air Canada Vacations will not be held responsible if such requests cannot be fulfilled.

Air Canada Vacations assumes no responsibility for any claim, loss, damage, cost or expense arising out of personal injury, accident or death, loss, damage, delay of baggage or other property, or delay, inconvenience, loss of enjoyment, upset, disappointment, distress or frustration, whether physical or mental, resulting from any of the following:

  • The act of omission of any party including suppliers other than Air Canada Vacations or its employees;
  • Sickness, theft, labour dispute, mechanical breakdown, quarantine, government actions, weather, or any other cause beyond our direct control;
  • Your failure to obtain the documentation required for your trip such as passports, visas, and certificates (in which case you are not entitled to any refund);
  • Your failure to follow instructions including but not limited to airport departure times, baggage handling, and check-in/checkout times;
  • Cancellation or change for any reason in the travel services offered. We reserve the right to cancel or substitute travel services with a comparable alternative at our discretion. If we must cancel your booking entirely, Air Canada Vacations' liability will be limited to a refund of all monies paid.
  • A full refund, however, will not be granted in situations where cancellation of travel must be made by Air Canada Vacations for reasons of which are beyond its control (i.e. force majeure situations such as inclement weather conditions, riots, etc.) and where Air Canada Vacations' contractual obligations with its suppliers does not allow for reimbursement of the sums paid to the supplier on behalf of the customer.

Flights

All flights purchased through Air Canada Vacations are operated by Air Canada or a Star Alliance partner airline, unless otherwise specified. Recommended airport check-in time is at least 3 hours BEFORE departure. Air Canada Vacations assumes no responsibility for missed flights. Passengers MUST verify flight schedules directly with the airline at least 48 hours prior to departure. Any flight deviation from the cruise line itinerary or special airfare request is subject to an additional charge. Alternate payment and/or cancellation policies may apply to air booked by Air Canada Vacations. Air Canada Vacations assumes no responsibility for cruise line air/sea option bookings, and has no control over related flights and/or routings.

Note: Group travel is limited from certain gateways.

Connecting Flights

Air Canada Vacations assumes no responsibility for any costs caused or associated with any flight delays or misconnections. Air Canada Vacations strongly recommends a minimum connection time of 3 hours, or preferably overnight particularly when tickets issued for such flights preclude last minute changes.

Cruise Connections

Air Canada Vacations endeavors to provide flight arrangements allowing passengers ample time to connect with cruise ship departures. No refunds or otherwise compensation will be issued for missed cruise departures caused by any flight delay or misconnection. In the event you miss your cruise departure, Air Canada Vacations will endeavor to secure alternate flight and/or hotel arrangements to a subsequent port of call to catch up with your cruise. Additional charges may apply. Any unused portion of your cruise is 100% non-refundable. Air Canada Vacations strongly recommends arrival at your embarkation city at least one day prior to cruise departure. Purchase of adequate travel insurance providing coverage for missed cruise connections is also highly recommended. 

Cruise Line Passenger/Embarkation Form

In order to simplify the boarding process and to comply with new international security laws, all travelers are required to complete a passenger immigration/embarkation form, found on each cruise lines’ web site well in advance of your sailing date.  Travelers that do not complete the registration process at least seven (7) days prior to sail date will be required to be checked-in at the pier at least two (2) hours prior to the published sailing time or they will be subject to denied boarding with no refund.  In addition failure to properly complete the on-line registration form in a timely manner will result in delayed cruise tickets.

Vaccinations

Passengers are solely responsible for obtaining all required medical inoculations and appropriate certificates necessary for travel.

Minors

All cruise lines require individuals under the age of 21 to be accompanied by an adult of at least 21 years of age (ages 25+ for AZA, RCI, CEL and CCL). This requirement is waived for married couples (proof of marriage is required) and minor children sailing with their parents or guardians in adjacent staterooms. The age of each individual on the date of sailing determines his/her status for the entire cruise. Age restrictions for alcohol consumption and gambling as well as infant age restrictions vary by cruise line. and are subject to change.  Infants under six (6) months of age are not permitted to sail.and on certain longer itineraries infants under 12 months are not permitted to sail. Full details will be provided at time of booking once we are notified of infants intending to sail.

Special Needs

Any particular requirements (stateroom, airline and/or transfers) for passengers with special needs must be requested at time of booking. Most cruise lines have limited wheelchair-accessible staterooms for which a medical certificate is required to book. Passengers MUST provide this certificate to the cruise line at least 30 days BEFORE scheduled sailing. Any special transfer arrangements required may incur additional charges. Passengers with special needs must be self-sufficient and accompanied by at least one other passenger who assumes full responsibility their well being at all times. Passengers are advised to consult with an Air Canada Vacations cruise expert regarding the feasibility of managing certain itineraries. In certain cases, passengers in wheelchairs may be precluded from going ashore due to docking facilities. Please ensure your Air Canada Vacations cruise expert verifies all details concerning guests with physical challenges as cruise line policies are subject to change without prior notice.

Pregnancy

Pregnancy is considered a medical condition and you are required to disclose this to Air Canada Vacations at time of booking. Women who have entered into their late stage of pregnancy by the beginning of, or at any time during a cruise or cruisetour (generally 24 weeks pregnant) will not be permitted to sail. A medical certificate stating how far along your pregnancy is and that  you are in good health and not experiencing a high-risk pregnancy will be required for pregnant women in their 23rd week or earlier who choose to sail. Details vary by cruise line and are always subject to change. Cruise Line specific details will be provided at time of booking once we are notified of your condition.

Air Canada Vacations and its cruise line partners reserve the right to decline any passenger at any time. Passengers may be declined or have their voyage terminated at their own risk and expense should their physical or mental condition, in the opinion of the ship's physician, render them unfit for travel, or represent a danger to themselves or any other passenger aboard the ship. Cruise lines also reserve the right to decline or terminate the voyage of any passenger who, at the sole discretion of the ship's captain, is believed to be dangerous to him/herself or others, or a cause of disturbance to cruise passengers or crew. Such passengers may be left at any scheduled port of call or place without any liability to the cruise line or Air Canada Vacations. In this circumstance, no refund or extra expenses will be honoured by the cruise line or Air Canada Vacations.

Hotel/cruise ratings are based on Air Canada Vacations interpretation and may differ from ratings reported elsewhere. Living conditions at destination may differ from those in Canada.

TERMS & CONDITONS OF BOOKING 

Full payment plus travel insurance premium must be received by Air Canada Vacations at time of booking.
Airline tickets are subject to specific tariffs and conditions which will be confirmed at time of booking. A minimum of one (1) night stay is required. Some tariffs may also impose one (1) Sunday at destination.

CREDIT CARD BOOKINGS

Your authorization to use your credit card number for deposit and/or final payment indicates your compliance with our booking terms and conditions, whether or not you have actually signed the appropriate draft.

TRAVEL DOCUMENTS

Tickets will be issued and delivered between 30 and 14 days prior to departure, providing full payment has been received. All tickets and vouchers are produced in electronic format to the e-mail address provided at time of booking. E-documents must be presented along with proper identification at check-in for departure flight, return flight, and hotel accommodation. Please refer to the ''Destination'' section, then ''Destination facts'' for entry requirements.

IF YOU CHANGE YOUR RESERVATION

Name changes are not permitted.
If, after your reservation has been confirmed, you wish to alter the arrangements, the following cancellation charges will apply:

  • 7 days or more prior to departure date: $250 per person
  • 6-0 days prior to departure: 100% of total price

The cancellation fees are in addition to the difference between the initial rate and the new rate plus any penalties incurred. No refunds will be made if the initial rate is higher than the new rate.

CANCELLATION FEES

Refunds for cancellation of a reservation will only be taken into consideration once notice is received in writing at Air Canada Vacations' office. Charges for cancellation will be as follows:

  • 45 days or more prior to departure: $250 per person*
  • 44-15 days prior to departure: 50% of total price*
  • 14-0 days prior to departure: 100% of total price**

*Cancellation fees are a liquidated damage to compensate Air Canada Vacations for prepayments made on advance booking of travel services, and for administrative costs involved in processing a cancellation.

It is your responsibility to notify Air Canada Vacations of cancellation.

Insurance

Air Canada Vacations strongly recommends the purchase of our Holiday Insurance at time of booking, or other sufficient traveler’s insurance. Government health plans have severely cut back their coverage of out-of-country medical care, and your vacation isn’t the time to worry about how to pay for emergency medical treatment. Co-Operators Travel Insurance offers security and peace of mind 24 hours a day, every day of your vacation. Don’t get caught abroad without it. Note: Insurance premiums are non-refundable and must be paid at time of booking.

Refunds

No reimbursements or refunds will be issued for unused travel services. Refunds will not be made for bookings cancelled due to inclement weather or illness; these must be claimed through your travel insurance. No guarantee is provided or warranted that any refund will be available.

Reporting of incidents

Any abnormal incidents, including injuries, service cancellation or problem, or dissatisfaction must be reported to Customer Care during the event to allow Air Canada Vacations an opportunity to rectify the situation or provide assistance. Please refer to the Destination facts section (London, Paris, Rome) for more information.

Prices:

Prices displayed are the lowest available at time of booking. Prior to confirming your reservation, you will be provided with the exact amount of your transaction. Our intent is to provide you with the vacation you have selected, at the price in effect at time of booking. If for any reason the price of your vacation increases by more than 7%, we will offer you the option of cancellation without charge, provided that you advise us in writing within 7 days of your receipt of notice of the increase. We will then send a full refund within 14 days of our receipt of your written cancellation.

Currency:

All rates are quoted in Canadian funds, unless otherwise indicated based on exchange rates, fuel costs, taxes and other fees (service charges included) valid at time of booking.

Prices DO include:

Selected combination of flights, accommodation and any other inclusions as specified for product selected as per the resort description on aircanadavacations.com. The Value Added Tax (VAT) is included in the price.

Prices do NOT include:

Taxes and other fees (including service charges). Most holiday packages are subject to extra charges above those reflected in the price listed for each package. Note: any supplementary services purchased at destination (meals, drinks, cleaning, items listed in the facility description etc.) in addition to any costs incurred en route to and/or from the destination, meals and/or alcoholic beverages (unless specified), local excursions at destination, telephone calls, tips, laundry, items of a personal nature and/or personal services not specified as being included in association with selected product as per the resort description on aircanadavacations.com, are not included in Air Canada Vacations package prices. Airport-hotel transfers are NOT included.

For Québec residents only, prices do not include the client contribution to the Indemnity Fund amounting to $3.50 per $1,000 of travel services purchased, the amount of which will be added to your invoice.

If we Modify Your Booking

Sometimes reserved accommodations become no longer available for reasons such as unexpected maintenance or overbooking. In such cases, substitute accommodation of equal or greater quality will be provided. If for any reason, after confirmation, a hotel change or other changes occur with your travel arrangements such as:
• change of destination;
• change of departure or return by more than 16 hours;
• change of accommodation standards;
• change of the routing requiring additional travel identification or documentation without sufficient time to obtain this documentation before departure.
Air Canada Vacations will contact you at the earliest convenience upon receipt of notification from the concerned supplier prior to your departure. In this case, Air Canada Vacations offers the following options:
a. Acceptance of the change as offered;
b. Selection of an alternate package with Air Canada Vacations, based on availability. Any price differential resulting from substitution with a lower-priced alternative will be refunded. You are responsible for payment of any difference in price based on substitution of a higher-priced alternative of their choice;
c. Cancellation of your vacation with a full refund of price paid to Air Canada Vacations.

LIABILITY OF SUPPLIERS

Air Canada Vacations makes arrangements with third-party suppliers who provide travel services such as air travel, hotels or other activities included in your tour package. Although we attempt our best to deal with the most reputable suppliers, we are not responsible for their acts and omissions. Travel services are subject to conditions imposed by these third-party suppliers, and their liability may, in turn, be limited by their tariffs, conditions of carriage as well as international conventions and arrangements. Conditions of Carriage apply to flights bound to and from your destination, some of which limit or exclude liability. For air carrier liability and options available to you regarding loss, damage or delay of your baggage consult aircanada.com and submit any claims directly to Air Canada. Air Canada Vacations does not assume any responsibility for schedule changes made by the airline, or any additional costs (accommodation, meals, etc) incurred due to any flight delays or misconnections. Payment

Full payment including travel insurance premium must be paid by credit card at time of booking.

Credit Card Payments

Your use of your credit card number to apply deposit and final payment indicates your acceptance of and compliance with these booking Terms & Conditions, whether or not you have actually signed the appropriate credit card slip. Verbal authorization for the use of a credit card confirms the reservation.

Travel Documents

Air Canada Vacations uses electronic ticketing. Upon receipt of full payment and all applicable fees, electronic tickets will be issued between 30 and 14 days prior to departure. For reservations made 7 days or LESS prior departure, e-tickets will be made available within 24 to 48 hours.

Change Fees

If you wish to make a change to a confirmed booking it must be completed 45 days or MORE prior to departure. A change fee of $50 per person plus GST applies per change. In addition, you assume responsibility for any such difference in price. Refunds will not be issued for any difference on a lower price alternative. If the change is made to room occupancy, the remaining travelers are responsible for the rate applicable for the revised occupancy. Change requests can not be made directly with any hotel or resort. Name change requests may be denied due to hotel- or airline-specific terms and conditions.


Changes made within 44 days or LESS prior to departure are not accepted - full cancellation fees apply. Any other changes, including name changes or corrections, you wish to make to a confirmed booking 44 days or LESS prior to departure will be treated as a cancellation.
Refunds for cancellation of a reservation will only be taken into consideration once notice is received in writing at Air Canada Vacations. Cancellation fees are applicable as outlined below.

Liability of Air Canada Vacations

Air Canada Vacations assumes no responsibility for any claim, loss, damage, cost or expense arising out of personal injury, accident or death, loss, damage, delay of baggage or other property, or delay, inconvenience, loss of enjoyment, upset, disappointment, distress or frustration, whether physical or mental, resulting from any of the following:

  • The act of omission of any party other than Air Canada Vacations or its employees;
  • Sickness, theft, labour dispute, mechanical breakdown, quarantine, government actions, weather, or any other cause beyond our direct control;
  • Your failure to obtain the documentation required for your trip such as passports, visas, and certificates (in which case you are not entitled to any refund);
  • Your failure to follow instructions including but not limited to airport departure times, baggage handling, and check-in/checkout times;
  • Cancellation or change for any reason in the travel services offered. We reserve the right to cancel or substitute travel services with a comparable alternative at our discretion. If we must cancel your booking entirely, Air Canada Vacations' liability will be limited to a refund of all monies paid.
  • A full refund, however, will not be granted in situations where cancellation of travel must be made by Air Canada Vacations for reasons of which are beyond its control (i.e. force majeure situations such as inclement weather conditions, riots, etc.) and where Air Canada Vacations' contractual obligations with its suppliers does not allow for reimbursement of the sums paid to the supplier on behalf of the customer.

All flights are operated by Air Canada, unless otherwise specified.

Air Canada Vacations reserves the right to decline any passenger at any time.

Before making a reservation using this site, please carefully review the terms and conditions outlined below.  Any reservations made using aircanadavacations.com/agents constitutes a binding agreement signifying your acceptance of, and your agreement to follow, these terms and conditions outlined below, and to be bound by them.

NOTE: Air Canada Vacations is a wholesale tour operator and does not own, manage, control or operate any aircraft, ground transportation, hotel, resort, cruise ship, restaurant or other supplier associated with the assembly of your package.

TERMS & CONDITIONS OF BOOKING

Full payment plus travel insurance premium must be received by Air Canada Vacations at time of booking.
Should payment not be received by Air Canada Vacations on the due date, the reservation will be automatically cancelled and applicable cancellation penalties will apply. Airline tickets are subject to specific tariffs and conditions which will be confirmed at time of booking. Please note, flight and hotel must be of the same duration and arrival/departure from same city chosen. A minimum two (2) nights stay is applicable to all reservations.

CREDIT CARD BOOKINGS

Your authorization to use your credit card number for deposit and/or final payment indicates your compliance with our booking terms and conditions, whether or not you have actually signed the appropriate draft.

TRAVEL DOCUMENTS

Tickets will be issued and delivered between 30 and 14 days prior to departure, providing full payment has been received. All tickets and vouchers are produced in electronic format to the e-mail address provided at time of booking. E-documents must be presented along with proper identification at check-in for departure flight, return flight, and hotel accommodation. Please refer to the Destination facts sections for entry requirements.

IF YOU CHANGE YOUR RESERVATION

Name changes are not permitted.
If, after your reservation has been confirmed, you wish to alter the arrangements, the following cancellation charges will apply:

7 days or more prior to departure date:

$250 per person

6-0 days prior to departure:

100% of total price

The cancellation fees are in addition to the difference between the initial rate and the new rate plus any penalties incurred. No refunds will be made if the initial rate is higher than the new rate.

CANCELLATION FEES

100% non refundable after booking is made.

It is your responsibility to notify Air Canada Vacations of cancellation.

Insurance

Air Canada Vacations strongly recommends the purchase of our Holiday Iinsurance at time of booking, or other sufficient traveler’s insurance. Government health plans have severely cut back their coverage of out-of-country medical care, and your vacation isn’t the time to worry about how to pay for emergency medical treatment. Co-Operators Travel Insurance offers security and peace of mind 24 hours a day, every day of your vacation. Don’t get caught abroad without it. Note: Insurance premiums are non-refundable and must be paid at time of booking.

Refunds

No reimbursements or refunds will be issued for unused travel services. Refunds will not be made for bookings cancelled due to inclement weather or illness; these must be claimed through your travel insurance. No guarantee is provided or warranted that any refund will be available.

Reporting of incidents:

Any abnormal incidents, including injuries, service cancellation or problem, or dissatisfaction must be reported to Customer Relations during the event to allow Air Canada Vacations an opportunity to rectify the situation or provide assistance

GENERAL

Validity of Prices:

Prices displayed are the lowest available at time of booking. Prior to confirming your reservation, you will be provided with the exact amount of your transaction. Our intent is to provide you with the vacation you have selected, at the price in effect at time of booking. If for any reason the price of your vacation increases by more than 7%, we will offer you the option of cancellation without charge, provided that you advise us in writing within 7 days of your receipt of notice of the increase. We will then send a full refund within 14 days of our receipt of your written cancellation. 

Currency:

All rates are quoted in Canadian funds, unless otherwise indicated based on exchange rates, fuel costs, taxes and other fees (service charges included) valid at time of booking.

Prices do NOT Include:

Any items other than specified such as: transfers, meals, laundry, telephone calls, tips, personal items, local excursions and airport improvement fees. Airport-hotel transfers are NOT included. For Quebec residents only, prices do not include the client contribution to the Indemnity Fund amounting to $3.50 per $1,000 of travel services purchased, the amount of which will be added to your invoice.

Although we attempt our best to deal with the most reputable suppliers, we are not responsible for their acts and omissions. Travel services are subject to conditions imposed by these third-party suppliers, and their liability may, in turn, be limited by their tariffs, conditions of carriage as well as international conventions and arrangements. Conditions of Carriage apply to flights bound to and from your destination, some of which limit or exclude liability.
